We are seeking a proactive and detail-oriented Office Assistant to manage general office administration, asset management, and document control. The ideal candidate will ensure smooth office operations, maintain accurate records, and support the team with administrative tasks.
Key Responsibilities
General Office Administration- Manage office inventory, pantry supplies, and office assets to ensure smooth daily operations.
Plan, coordinate & supervise regular cleaning, maintenance & repair work by vendors in office premises.
Liaise with building management for compliance and ensure that all office procedures are adhered to.
Oversee company car management, including road tax renewal, repairs, and regular maintenance.
Coordinate with vendors for utilities, pest control, office repairs, and maintenance.
Handle bill payments, including utilities, company phone lines, internet, etc.
Manage travel arrangements for staff, including booking flight tickets, accommodation, and transportation.
Dispatch documents, handle courier services, and assist with various office errands as needed.
Organize, store, and manage company documents (physical and digital).
Maintain document control systems for easy retrieval and updates.
Ensure confidentiality and proper document handling procedures.
Job Requirements
At least 1-2 years of relevant experience in office administration or a similar role.
Valid driver’s license and a clean driving record.
Strong organizational and time-management skills.
Ability to multitask and handle a range of administrative tasks efficiently.
Good communication skills and the ability to liaise with vendors and building management.
Preferably staying within Klang Valley or close to the office.
Experience in Document Control task is value added.
